About This Job

Overview  

We are seeking a proactive, organized coordinator to manage live music programming and musician relations for an upscale restaurant and bar. The ideal candidate will balance artistic sensibility with strong logistical and communication skills to ensure seamless performances and excellent guest experiences.

Key Responsibilities

- Program Coordination: Develop and maintain a curated schedule of live music consistent with the venue’s brand, target audience, and peak trading hours.

- Talent Management: Source, audition, book, and negotiate fees with local and visiting musicians, ensembles, and DJs.

- Logistics & Production: Oversee show setup, soundcheck coordination, stage layout, and basic technical requirements (PA, mics, monitors). Liaise with sound engineers and venue staff to ensure timely, high-quality performances.

- Contracting & Administration: Prepare and manage performance agreements, maintain records of payments, invoices, and rider requirements; ensure timely payments and compliance with contractual terms.

- Artist Relations: Serve as primary point of contact for performers—manage expectations, rider requests, arrival times, and briefings; cultivate long-term relationships with local music community.

- Scheduling & Communication: Build and distribute weekly/monthly rosters; handle last-minute substitutions, cancellations, and emergency cover; communicate clearly with FOH, kitchen, and management about programming.

- Promotion & Collaboration: Work with marketing to promote acts through social media, email, and in-venue collateral; coordinate special events, themed nights, and private bookings.

- Quality Control & Feedback: Monitor performance quality and guest feedback; implement improvements and provide constructive feedback to performers when appropriate.

- Compliance & Safety: Ensure performers adhere to venue policies, licensing requirements, noise regulations, and health & safety protocols.

Skills and Qualifications

- Experience: 3–5 years in music coordination, talent booking, event production, or similar roles within hospitality, live music venues, or festivals.

- Education: Degree or diploma in music management, arts administration, event management, or equivalent practical experience preferred.

- Communication: Excellent verbal and written English; confident negotiator and clear communicator with artists, suppliers, and internal teams.

- Organizational Skills: Strong planning, time-management, and multi-tasking abilities; comfortable managing complex schedules and last-minute changes.

- Technical Know-How: Familiarity with live sound basics, stage layouts, and common technical riders; ability to liaise effectively with audio technicians.

- Interpersonal: Professional, personable, and diplomatic; able to build rapport across diverse musical acts and team members.

- Commercial Awareness: Understanding of budgeting, pricing and cost negotiations; ability to balance artistic quality with commercial targets.

- IT Competency: Proficient with scheduling tools, spreadsheets, email marketing basics, and social media platforms.

- Language: Native-level English required; additional languages are a plus.

- Availability: Flexible working hours, including evenings, weekends, and public holidays.
